Administrative Coordinator

The Admin Specialist Program is a scaled administrative team supporting core areas of admin support - calendar, expense, travel - at ratios of up to 7:1. This is a remote support team based in the ATX office - all work is in office, and we remotely support leaders across North America with the goal of giving time back to allow leaders in the program to focus on their most critical and impactful work.  This is a temporary contract position.

  • Schedule internal and external meetings for multiple executives, including recurring and ad-hoc meetings
  • Coordinate attendees and meeting agendas
  • Manage hectic and complex calendars and room bookings
  • Prepare expense reports
  • Coordinate domestic and international travel arrangements
  • Support Executive Onboarding to the Administrative Specialist Program 

Minimum Experience, Education, and Training Required:

  • 1+ years of experience providing administrative support to 1 or more executives
  • 1+ years of experience coordinating travel logistics on behalf of 1 or more executives
  • 1+ years of calendar management and expense report management experience for 1 or more executives
  • Experience prioritizing multiple tasks and activities
  • Experience with Microsoft Office
  • Experience with a Customer Relationship Management or ticketing system

Preferred Qualifications:

  • BA/BS
  • Capable of exercising judgment and discretion while utilizing company policies and practices to determine appropriate action
  • Capable of problem-solving
  • Skilled at organization and coordination
  • Polished and professional written and verbal communication 
  • Resourceful at building relationships across the larger Facebook ecosystem
  • Flexible and adaptable to leader or process changes
